Annual Plan 2024/Fail fest: Structures that don't stand the test of time – international anchoring and engagement
In this fail fest, we focus on the challenges and development of the Helpdesk within the thematic hub for content partnerships. Despite appreciation from volunteers, limited resources have made the work more difficult, and the pilot phase has continued longer than planned. To create a more sustainable structure, Wikimedia Sverige has decided to recruit a secretary to coordinate the committee's work and ensure a long-term solution.
The Helpdesk within the thematic hub for content partnerships has responded to several requests over the year, which has been highly appreciated by engaged volunteers and communities. The associated expert committee, which prioritizes and guides the work, brings together some of the movement's most experienced volunteers in the field of content partnerships.
The function and its structure work well and are valued. However, despite strong commitment, the association has struggled to meet expectations due to limited resources and time. This is a real problem: launching an initiative without being able to maintain its pace risks undermining both engagement and trust. For the same reason, we have also held back on communication about the Helpdesk.
The expert committee was originally established as a pilot, but due to a lack of long-term funding and clear decisions from the Wikimedia Foundation, it has continued to operate in pilot form for several years. This was never the intention, but it became a reality in the absence of long-term planning and predictability.
In 2024, the problems became more evident, and by the end of the year, it was clear that we had to act, despite continued uncertainty regarding future funding. The most important measure is to announce a position for a secretary for the committee. The secretary will be responsible for coordinating the committee's work and leading the transition from a pilot to a more sustainable and long-term structure.
This also means making it possible for the committee members who wish to leave (considering they initially joined under the assumption that it was a time-limited pilot project) to do so, and developing methods to recruit new members in a structured manner.
